1. Introduction

St. Mary’s (N) School, Doranda, Ranchi (“School”, “we”, “our” or “us”) respects the privacy of students, parents, guardians and authorised users of its online fee portal (“Portal”). This Privacy Policy explains how information is collected, used, stored and shared while providing online school fee payment services.

By accessing or using the Portal, the user acknowledges this Privacy Policy.

2. Information We May Collect

• Student name, admission or registration number, class, section and academic session.
• Parent or guardian name, mobile number and other details available in School records.
• Fee details, outstanding dues, concessions, late fines and payment history.
• Transaction date, amount, transaction ID, UTR or bank reference number, payment status and selected payment method.
• Technical details such as device type, browser, IP address, access time and error logs.
• Information submitted with payment queries, refund requests or complaints.

Payment credentials

Complete card details, CVV, banking passwords, UPI PINs and OTPs are ordinarily entered directly on the payment gateway or bank interface. The School does not ask users to disclose a UPI PIN, card PIN, OTP or banking password to School staff.

3. How Information Is Used

• To identify the student and display applicable fee details.
• To process, verify, reconcile and record fee payments.
• To generate digital receipts and transaction acknowledgements.
• To process approved refund or fee-adjustment requests.
• To communicate payment status, reminders and support updates.
• To prevent misuse, fraud and unauthorised access.
• To maintain accounting, audit, School administration and legal records.
• To improve Portal security, availability and performance.

4. Sharing of Information

Relevant information may be shared only where reasonably necessary with the integrated payment gateway, banks, UPI or card networks, the School’s ERP or technical service providers, auditors, professional advisers and competent authorities where required by law.

The School does not sell or rent student or parent information to advertisers or unrelated third parties.

5. Data Security and Retention

The School and its service providers use reasonable administrative and technical safeguards to protect information against unauthorised access, alteration, misuse, loss or disclosure. No internet-based system can, however, be guaranteed to be completely secure.

Information may be retained for as long as required for student records, fee reconciliation, accounting, audit, dispute resolution, approved refunds and compliance with applicable requirements. Information that is no longer required may be securely deleted, anonymised or archived.

6. User Requests

Subject to applicable School record-keeping and legal requirements, a parent, guardian or authorised user may request correction of inaccurate information, information about the handling of personal data, or resolution of a privacy-related grievance. The School may verify the identity and authority of the requester before acting on the request.

7. Student and Minor Data

Where the student is a minor, the parent or lawful guardian is responsible for using or authorising the use of the Portal. Student information is used for fee payment, School administration and related support purposes. The School does not knowingly use student information for targeted advertising.

Cookies and session data

The Portal may use cookies or session identifiers to maintain login sessions, improve performance, detect technical issues and prevent misuse. Disabling cookies may affect some Portal features.
